Initial Stock Entry (Inventory On-hand)
The "Inventory On-hand" page (/initial-stock-entry) is a special tool designed to help you quickly add your existing shop inventory into Zyrepha. This is the page you should use when you are first migrating your business.
You have two options on this page: adding brand new products or adding stock to existing ones.
1. Adding New Products
Click the "New products" button to add an item that has never been in your system. You will need to fill in the following details:
- Product Name: The name of the item.
- Brand Name: The manufacturer or brand.
- Category: Select from the list you created in the
/settingspage. - Unit: The main unit you buy and stock. Choose from Packs, KG, or Litres.
- Pieces per Pack: (Only if Unit is "Packs") This is a powerful feature for selling in smaller units.
- Example: If you buy a pack of "Paracetamol 500mg" with 100 tablets, you would enter 100. This allows you to sell both the full pack and individual pieces/tablets.
- Buying Price per Pack: The cost you pay for one full pack/KG/Litre.
- Minimum Selling Margin (%): A percentage used to calculate the minimum price you can sell a unit for. This is calculated from your buying price to protect your profits.
- Selling Price: The price you will sell one full Pack/KG/Litre for.
- Low Stock Threshold: The quantity (in Packs/KG/Ltrs) at which you want to receive a low-stock notification.
- Quantity: The current amount of this item you have on hand (in Packs/KG/Ltrs).
- Loose Pieces: (Only if Unit is "Packs") The number of additional individual pieces you have. (e.g., you have 5 full packs and 20 loose tablets).
- Expiry Date: (Optional) The expiration date of the product.
- VAT Type: Select whether the item is Standard Rate, Zero Rated, or Exempt.
2. Adding to Existing Products
If you have already created a product and just want to add more of its initial stock, click the "Add to existing product" button.
Here, you simply search for the product and add the new stock. The fields are simpler since the main details are already configured:
- Quantity (in its unit)
- Loose Pieces (if the unit was "Packs")
- Buying Price per unit
- Selling Price per unit
- Expiry Date (optional)
